Our Time Tool is used to track worked hours on tickets or tasks. You can add worked hours directly from a ticket on which you are working.
Or, you can do it from the Time Tool or Track Time page.
Using the Track Time page
This option is available from My Work > Track Time (located at the right top). You will see 2 options:
Weekly time tracking
Daily time tracking
Using Weekly time tracking
The Weekly time tracking option automatically shows all of the tickets assigned to you that were updated during the week by you or any team member. On this page, you can see all the worked hours for all your spaces.
If you want to add hours to a ticket you are not assigned to but that you are working on, you can do it by typing the ticket number. It shows some matches for you to select. Click Add Entry and the ticket is added to your weekly page.
You can also add tasks (not tickets) for things you have been working on, i.e. "Call with customers - demo".
Once you have all your tickets and tasks, you can add all the worked hours on the boxes. When you finish, click Save.
You can check all the worked hours of your previous weeks by clicking on the Show previous week link.
Using Daily time tracking
As its name says, you can add your worked hours on a daily basis.
It has the same features as the weekly with the difference that it has an export option which can be helpful to export your worked hours from all the spaces you are working on.
You can filter your hours with From and To date criteria plus all your spaces.
Using the Time Tool at the space level
If you don't see the Time Tool in your space, you can install it from Space Settings > Tools > Time by clicking on the Add button.
Note: Only an owner can install tools.
The time tool at an space level has a few more options:
Time Tracking
Time Report
Time Analysis
Saved Timesheets
Settings
Using Time Tracking
It has the same options as the Track Time page with a few differences:
You can only add tickets of that space.
The Daily doesn't have an export option as it's in the Time Report.
The Weekly allows you to Filter by Milestone.
Using the Time Report
It is very similar to the Export option from the Daily Track time page except for these differences:
You can select the users of your space in order to export their hours.
You cannot select other spaces.
Using Time Analysis
This is the improved version of Time Report. You can filter the worked hours of your users by:
From Date - To Date
Spaces: This is only available at Portfolio Level. Check point 3.
Users
Milestones
You can decide what information you want to display.
And you can also group them by:
Space
User
Date
Week
Month
Ticket
Milestone
You can save all reports that you run by clicking Save selected tasks as timesheet. By default, it fills the Timesheet Name with the From and To dates. You can change it if you want.
There is also an option to Save group subtotals only. If you select this option, only the grouped by hours are saved. Click Save Timesheet button.
The timesheet is saved and we can see it right away by clicking Go to saved timesheet.
Using Saved Timesheets
Use this option to access all of the saved timesheets. Before continuing, note that if you don't select the group option when saving timesheets, you can click on the names and see all the detailed hours.
Here are some of the tasks you can do with this page:
Export your timesheet. You can export your timesheets into CSV by checking the box for the timesheets you want to export, and then clicking Export Timesheet. If you want to export only one timesheet, click Export for that line item.
Delete your timesheet. If you saved a timesheet by mistake or if you don't want it anymore, you can delete it by clicking Delete. If you need to delete more than one timesheet, check the boxes for the timesheets you want to delete, and then click Delete Selected.
Change Status. In order to manage your timesheets in the most efficient way, you can change the status of them into:
New
Exported
Invoiced
Paid
Again, check the boxes for one or more timesheets, and then click Mark selected as. Note that when any of the statuses is selected, the timesheets are updated without any confirmation.
Understanding these options
As we have already seen previously, you can see the content of your saved timesheets on the UI. This view offers you three options:
Export Timesheet. Export into CSV.
Delete Timesheet. Delete.
Change Status. Change the status.
Configuring settings
You can configure the Maximum allowed hours per ticket per day per user. Let' say you set this field for eight hours. This means that if a user wants to log more than eight hours on one ticket for one day, they receive an error.
Note: It works for tickets only, not for tasks.
Using the Time Tool at the Portfolio level
The Portfolio is a product that is available only on some plans. How do you know if your space belongs to a portfolio? Easy, you just need to check the navigation bar and you will find the logo of your company OR the name of the portfolio.
If you click it, you are redirected to the portfolio. The URL of a portfolio is https://Your_portfolio.assembla.com. Note that you can still access your spaces either from your_portfolio.assembla.com or app.assembla.com.
If your space is not under a portfolio, you will see the Assembla logo and also the word Assembla:
Now that you have identified if you have a portfolio, you can go to the Time tool which has two options you are already familiar with:
Using Time Analysis. Includes all of the same options as the space level except that Filter By Spaces is enabled.
Using Saved Timesheets. It works exactly the same as at the space level. You can review, delete, export and change the status of your timesheets.
