Manage your Spaces
To view your spaces, simply select Spaces from the toolbar at the top of the screen while at the Portfolio level.
From the Spaces screen, users can view all of the spaces associated with a Portfolio as well as their owner, tags, and next milestone. The spaces can be sorted either up or down by any of the headers by clicking on the headers or they can be filtered by tags using the dropdown menu above the spaces list.
For Users with the New UI:
To view your spaces, simply select See all from the My recent spaces section of your Portfolio Home.
From the Spaces screen, users can view all of the spaces associated with a Portfolio as well as their owner, labels, and next milestone. The spaces can be sorted either up or down by any of the headers by clicking on the headers or they can be filtered using the menus to the right of the spaces list.
Spaces can be categorized as Active, Archived, Template, or Proposed. To archive an Active space, simply select Archive Space from the Actions drop down menu. Conversely, to move an Archived space to an Active one, choose Activate from the drop down Actions menu.
Template spaces can be added using the Add New Template button at the top right of the Templates screen. Templates can be used to create new spaces with predefined settings and content to start your projects even faster. Spaces created from a Template will inherit the Template’s Assembla Tools, milestones, custom ticket fields, custom ticket status names, custom ticket reports, files, wiki pages, and Build tool settings.
Finally, spaces can be proposed by Portfolio members. The Proposed page will list Proposed spaces as well as who created them and when. The drop down Actions menu will then allow a Portfolio Manager to either Activate or Reject the Proposed space. You can’t invite team members while a space is Proposed. Contact your Portfolio Manager to Activate your space before inviting team members.
Centralized User Management
Users can also be managed by selecting Users from the toolbar at the top of the screen while at the Portfolio level.
From the Users screen, all of the users of the Portfolio can be viewed as well as their last login, their role in the Portfolio, and their Space permissions. The users can be sorted either up or down by any of the headers by clicking on the headers. Users can be added, promoted, and demoted as well. Additionally, users can be removed from this screen and automatically removed from all of the spaces they belong to within the Portfolio.
Users can also be filtered in a variety of ways using the drop down menu above the users list.
Portfolio Search can be reached by selecting Search from the toolbar at the top of the screen while at the Portfolio level. Search results can be filtered by code, collaboration, stream, milestones, spaces, tickets and users as well as by the time they were last updated.
To view Portfolio-wide ticket metrics, select Tickets from the toolbar at the top of the screen while at the Portfolio level.
This checks activity across multiple spaces in your portfolio in one place. It can be used to identify slowdowns as well as potential bottlenecks in your workflow.
Kill Rate Chart
This chart displays created vs. closed tickets.
Active Tickets by User
As the name implies, this metric tracks the active tickets assigned to each user in the portfolio. To view a detailed user activity chart, simply click on that user’s username.
Closed Tickets by User
This metric tracks the closed tickets assigned to each user in the portfolio. Again, a detailed user activity chart can be viewed by clicking on the user’s username.
Tickets by Status
This chart organizes tickets by their Status. To see a detailed ticket list, click on a Status. This report is used to monitor work in progress.
Tickets by Priority
This chart organizes tickets by their Priority. To see a detailed ticket list, click on a Priority. This report is used to track important tasks.
As you might guess, this metric is used to track upcoming, completed, and due milestones across your portfolio in one place. The milestones are displayed by their due date in a calendar format.
Relate Tickets Between Spaces
Additionally, you can relate tickets between any two Spaces as long as they are in the same Portfolio. From the Related Tickets tab on any ticket, you can relate the current ticket to an existing ticket by searching the ticket number or summary, selecting the existing ticket’s relation to the current ticket, and selecting Relate. You can also relate your current ticket to a new ticket by selecting the new ticket’s relationship to the current on and selecting Create new related ticket.
Portfolio Time Reports
To view Time reports for your Portfolio, select Time from the toolbar at the top of the screen. Here you can see the time spent on tickets broken down by user. There are also options to select the desired timeframe as well as filter by spaces, users and milestones.
Portfolio Admin Page
Branding allows you to customize the look and feel of your Assembla workspaces to match your company’s website. Your logo, a custom domain, custom CSS, and HTML code can be uploaded by clicking the link.
Users can be invited to your Portfolio and then added to the spaces they need access to. Access to portfolios and spaces can be controlled individually on a per-user basis.
Space Creation Workflow
You can also control the workflow for creating new spaces by altering who is allowed to create new spaces, whether they need to be approved before team members are added, and which templates are offered to users when creating a new space.
This allows users to determine which tabs and features are displayed.
This option allows you to force users to login through your SAML (Secure Assertion Markup Language) Identity Provider if you have one. To set it up, check the Enable checkbox and fill out the fields shown below. Only the URL and either the certificate or its fingerprint fields are required, however.

Alternatively, you can force your portfolio managers to to login through Google Auth by checking the Force Google Auth for managers and updating the settings using the button below.
